Two status tracks
Every tax form carries two independent statuses, so “the payee finished the form” and “our team is satisfied with it” are never conflated.Collection status
The collection status tracks the payee’s progress through e-signing:Review status
The review status tracks your team’s decision: pending, accepted, or declined.- A form can only be accepted or declined once the payee has signed or completed it — you always review a finished document, never a draft.
- Declining requires a written reason, which is stored on the form record along with when the review happened.
- Once your team accepts or declines a form, that decision becomes the form’s effective status.
What each form record keeps
Every tax form record ties the document to the payee and the payer:- The payee, identified by Pvium handle, email, name, or wallet address
- The payer business profile and organization the form belongs to
- Form type, collection status, and review status
- When the form was signed and when it expires
- The signed PDF, downloadable at any time
- The decline reason and review date, if your team declined it
Reviewing forms in the dashboard
The Tax Forms page shows all forms across your business profiles, filterable by business profile, organization, payee search, form type, collection status, and review status. For each form your team can:- View the PDF — download and read exactly what the payee signed.
- Accept — mark the form as reviewed and valid.
- Decline — reject the form with a required reason, which is kept on the record.
How tax forms fit the payout flow
Tax forms are part of the compliance record that travels with your payouts:- In the quick payout flow, choosing Verified payees only requires recipients to provide the legal information needed to stay compliant before they can be paid.
- Reviewed forms, decline reasons, and review dates become part of the exportable audit record, so reviewers can later confirm documentation was collected and reviewed before money moved.
